Cheltenham - Portman Support Centre (The Port)

Due to our rapid and continued growth, Portman Dental Care are looking for a Facilities Administrator to join our Central Support team in Cheltenham.

  • Full time – Monday to Friday
  • Role based in Cheltenham
  • Property and insurance experience is essential

Our aim is to more than double our footprint of sites across the UK which currently stands at 106 sites. Our Head Office in Cheltenham, known as “The Port”, supports our group of 500 Clinicians and over 1000 support colleagues across multiple UK sites to deliver a fantastic healthcare service.

The opportunity:
As part of the Central Support team you are key to ensuring practices are able to grow whilst concentrating on the day to day work of ensuring that patients are getting the best treatment possible.

You will provide administrative support and assistance on facilities and property matters to the Portman Facilities/Estates team. Responsibilities and accountabilities include:

  • Be the first point of contact on Facilities and Property matters for practice managers, landlords and their agents
  • Proactively manage the Property and Facility inbox and communications
  • Collect and collate property and contract information on pending and pipe-line acquisitions
  • Close post-acquisition support on-boarding new acquisitions
  • Prioritise a shifting workload
  • Collate all demands for property charges reporting to Head of Property
  • Monitor and ensure that property insurance is up to date and on file and that the monthly tracker is kept up to date
  • Update and maintain the property schedules for all property transactions including acquisitions, rent charges and landlord contact details
  • Support practices with escalation of archiving and furniture ordering for all properties throughout the estate

What we’re looking for:
You will have property and insurance experience, ideally from a background supporting a multiple estate portfolio. Adept at record keeping, organised and able to prioritise your work load you will utilise advanced skills using Microsoft Excel, Word and PowerPoint.

If you have strong values, are process driven with great attention to detail and you are self-motivated with a ‘can-do’ attitude, this could be the role for you.
